📇 Adding a Contact
Use the “Add Contact” button for manual entry. This is useful when:
-
A customer calls in directly
-
The contact isn’t yet in your CRM
-
You’re not fully CRM-integrated
Required Fields:
-
First Name
-
Last Name
-
Email
-
Phone Number
⚠️ Do not enable DND (Do Not Disturb) on new contacts unless necessary — this will block communications.
📁 Understanding the Contact Record
Once a contact is created, you'll see:
-
Contact Info (Editable)
-
Tags: Used to trigger or stop automations
-
DND Options: Block communication by channel
-
Automations: View any active workflows or campaigns
-
Opportunities: Shows which pipeline the contact is in
-
Activity Feed: Shows prior interactions, campaign history, and form activity
This gives a fuller picture compared to what’s shown in the Conversations tab.
🔀 Assign to Pipeline
Click the “Pipeline” button to manually place a contact into a pipeline:
-
Choose a pipeline (e.g., “Main Pipeline”)
-
Select a stage (e.g., “Opportunity Created”)
-
Click Add
Use this to manually move contacts into sales stages based on interactions.
🤖 Automations (Robot Icon)
⚙️ Note: Automation setup is typically handled by Bullseye Pro staff.
While you can trigger workflows from here, this feature is advanced. If you want training on it, contact your CSM or request a dedicated walkthrough.
📲 Sending Bulk SMS
The “Send SMS” tool allows you to message one or many contacts at once.
Steps to Send SMS:
-
Select one or more contacts
-
Click Send SMS
-
Choose a template or write your own message
-
Choose a send method:
-
Send All At Once (for a few contacts)
-
Scheduled Time
-
Drip Mode (recommended for large lists)
-
✅ Best Practice: Use Drip Mode
-
Example: Send 25 messages per hour
-
Reduces risk of being overwhelmed by replies
-
Avoids triggering spam flags
Scheduling Tips:
-
Avoid weekends unless necessary
-
Set a start and end time
-
Respect local time zones
💡 SMS Template Use Cases
-
Membership Renewal Reminders
-
Seasonal Service Offers
-
Open Estimates
-
Quick Replies
-
Cross-Sell Campaigns (e.g., Plumbing + HVAC)
All templates are tested and can be customized.
📧 Other Contact Tab Tools
-
Send Email: Similar process to SMS but via email
-
Send Review Request: Not recommended — typically managed by Bullseye Pro
-
Export Contacts: Pull your data for analysis
-
Import Contacts: Add contacts in bulk (e.g., old equipment lists, high-priority leads)
🧠 Strategy Tip: Use imports to build hyper-targeted lists (e.g., 15+ year-old systems for replacement offers)
