How Your AI Review Requests Work (Bullseye Pro + Rachel)

After each job is marked complete in your CRM, Bullseye Pro automatically sends a review request to your customer through our AI assistant, Rachel. This helps you gather more 5-star reviews while keeping follow-ups consistent and hands-free.

⚙️ How It Works

1️⃣ Job Completed → Review Request Sent

When you mark a job as completed in your CRM:

  • The customer’s name, phone number, and email are sent securely to Bullseye Pro.

  • A special “review trigger” automatically tells Rachel to send your first message.

  • If you have more than one location, Bullseye Pro rotates your Google Review links evenly.


2️⃣ Rachel’s First Message

Your customer receives a friendly text message that says:

Hi [First Name], my name is Rachel and I work for [Your Business Name]. It’s my job to make sure you’re completely satisfied. Did we provide you with a 5-star experience?

If the customer replies, Rachel instantly analyzes the response and keeps the conversation going. *That is her only job. She should not be going into further detail or converstaion at this time. 


3️⃣ Smart AI Responses

Rachel uses sentiment detection to understand each customer’s reply:

  • Positive Feedback:
    Rachel thanks them and sends your Google Review link automatically.

    That’s wonderful to hear, [First Name]! If you have a moment, we’d really appreciate your feedback here: [Google Review Link]

  • Negative or Neutral Feedback:
    Rachel will not send the review link. Instead, our team is notified to follow up personally and help resolve the concern.


4️⃣ Review Tracking

Every customer record inside Bullseye Pro includes:

  • The message history with Rachel

  • A field for the GMB review link to be applied under "General Info" automatically. 

  • Tag history such as "start_review" to let you know they should have recieved the Review Request Text,or "Alert_user" Which is applied if any response is not identified as positive so you can be alerted and take over the conversation. 

This gives you a full view of customer satisfaction after each job.


🔍 Troubleshooting & Tips

If you notice a customer didn’t receive a review request, check the following:

  1. The job must be marked as “Completed.” in your CRM. 

    • The automation only runs after job completion status updates in your CRM.

    • For SERA users this trigger is Invoice accepted. 
  2. Check timing.

    • If the job was marked complete after a long delay, it may not sync properly.

    • If a job is closed before any work is completed. It will not sync properly. 
    • Any adjustment to old completed Job Records could impact the system sync. Please reach out to us if this is the case for you. 
  1. Duplicate or missing contact info.

    • Missing phone numbers or duplicate entries can prevent messages from sending. Please ensure you are cleaning your contacts information and do not have examples like "Ben and Nancy" as a First name, or Multiple Phone Numbers or emails in one feild. Keeping your data organized to the feilds your CRM has for you, will ensure the sucess of this campaign.

💬 Frequently Asked Questions

Q: Can Rachel send review requests by email instead of text?
A: Rachel currently answers or filters review requests only through SMS for the highest response rate, but email options are being explored for future updates. However if you want to add an email to your Review request automation that is possible. 

Q: How fast are review requests sent after a job is completed?
A: Usually within 5–10 minutes of your CRM marking the job complete.

Q: What happens if a customer responds days later?
A: Rachel will still respond if the automation is active — so even late replies are handled automatically.

Q: How do I turn Rachel off?
A: Rachel will still respond if the automation is active and the "start_review" tag is applied— so even late replies are handled automatically. If you wish to turn the Ai off at any point from responding you can apply the "ai_off" Tag to the Contact.
