What is this Article?
This Article outlines the step-by-step process to end all follow-up communications and automations for a contact within your CRM or pipeline. This is typically used when a lead has taken final action (e.g., approved estimate, marked lost/won), and follow-up sequences are no longer necessary.

Why do we use this?
To prevent redundant or irrelevant follow-up messages being sent to leads or clients who no longer require them, thereby improving customer experience and avoiding confusion.

Triggering End All Comms via Opportunity Status Change

Instructions:

  1. Go to your pipeline view inside your CRM.

  2. Locate the opportunity (contact) that should be removed from future workflows.

  3. Drag the opportunity to one of the following designated statuses:

    • Abandoned

    • Won

    • Lost

  4. These statuses are connected to the “End All Comms” automation trigger, which will remove the contact from all associated workflows.

  5. This process will not mark the contact as DND (Do Not Disturb); it only stops current and future automated follow-ups.

📝 Pro Tip:
Ensure you do not use a similarly named but inactive status bucket. Confirm your pipeline's status matches the automation trigger settings exactly.

Triggering End All Comms via Tagging

Instructions:

  1. Open the contact profile within your CRM.

  2. Add the following tag to the contact: end_text

    • This tag is another automation trigger that will remove the contact from all active workflows.

  3. If you'd prefer to use a different tag label, contact leadership or the automations team to have it updated in the system logic.

📌 Note:
Make sure the tag spelling is exact, including underscores or dashes. Incorrect tag formatting will not activate the automation.

Verifying Communication Has Ended

Instructions:

  1. Open the contact record.

  2. Click into the Automations/Workflows tab or section.

  3. Confirm that the contact has been removed from all active workflows.

  4. Additionally, you can review the Execution Logs within the “End All Comms” automation to confirm the contact's removal.
